Event Terms and Conditions

Thank you for your booking! Your QR code is your ticket. Please bring this with you as a phone screenshot or printout.

Terms & Conditions:

  • Tickets are non-refundable and cannot be exchanged for monetary value.
  • Tickets are not transferable between events.
  • In the event of cancellation by Hartlebury Castle Trust and the promoter before commencement of the performance, the companies will endeavour to rearrange the date of the event. Where this is not possible, your ticket will be refunded.
  • If the performance is forced to cancel part way through, decisions will depend on circumstances. Refunds will not be given for any show stopped more than 50% of the way through.
  • If you can no longer attend the event, you are welcome to pass on your tickets to a friend. Please notify Hartlebury Castle of any changes to the booking on 01299 750797.

Event Information:

  • Performance starts at 8pm. Doors open at 6.30pm. The entrance is the main gates leading to the Carriage Circle in front of the Castle.
  • Running time: approximately 2hrs 25mins, including an interval.
  • Please bring a low backed chair and picnic blanket. Seating is unallocated and chosen by attendees on a first come basis.
  • In the event of rain, the performance will go ahead unless conditions are extreme, as determined by the venue and Operation Moonlight. Please dress appropriately for the weather.
  • If you have a Carer/NUS ticket, please bring the appropriate documentation (see Carer Documentation tab below for details).
  • 1 Carer ticket per paid ticket.
  • No drinks (alcoholic or soft) may be brought onto site. Free water will be available. You may bring your own food.
  • Bag searches will be taking place on entry, so please do not bring any prohibited items onto site (illegal/recreational drugs, offensive weapons, alcoholic drinks or soft drinks). This is a condition of attending the event and refusal means no entry. If you are found with dangerous prohibited items, the police will be called. If you are found with alcohol, you may return it to your vehicle or we can dispose of it for you.
  • Bring proof of age ID (e.g. a drivers’ licence) if consuming alcohol. We operate an Under 25 policy.
  • There will be beer, cider, wine, prosecco and soft drinks available to purchase from the bar, as well as snacks such as candy floss, popcorn, sweets, ice cream and crisps. The bar is run by volunteers and all profits go to Hartlebury Castle Trust.
  • There is free parking on site.
  • Do not bring tents of any type.
  • No dogs, except Assistance Dogs.

We have a zero-tolerance approach to any threats of harm or harassment towards our staff or volunteers, including abusive, threatening or violent behaviour.

We understand that some visitors may require an essential person/carer in order to facilitate their visit and experience at the Castle. We allow one free carer with a full paying ticketholder, and one of the following documents must be available to show on the day of your visit:

  • Entitlement to Disability Living Allowance for children under 16 or DLA/Personal Independent Payments (PIP) for those aged 16-64, either in the form of a letter stating that the benefit has been awarded, or the actual Allowance book
  • Attendance Allowance or Carer’s Allowance letter of award
  • Incapacity Benefit books, or a letter notifying the recipient that the benefit has been awarded Incapacity Benefit, Employment and Support Allowance (ESA) Disability
  • Nimbus Access Card with the companion/+1 symbol

Unfortunately, we cannot allow carers under the age of 16.

  • Alcohol

For outdoor concerts, bringing soft drinks is also prohibited.
